CUSTOMER SERVICE AGENT / RECEPTIONIST

Position summary

As part of our growth, we are looking for a Customer service agent and receptionist. Reporting to the Account manager supervisor, you will assume the position of receptionist and provide administrative support to the sales department.

Your main responsibilities will be as follow:

Customer Service agent :

  • Provide support to sales team (order entries, returns [debits/credits], warranties, delivery charges, etc.);
  • Ensure follow-up with clients regarding product availability, shipments (inventory checks), proof of delivery, dates of deferred delivery, and prices;
  • Process regular orders conveyed by outside vendors and send out requisitions;
  • Work with distribution center team to ensure accuracy of returned inventory;
  • Distribute customer orders (emails and faxes) to account managers.

Receptionist :

  • Greet visitors;
  • Take incoming and outgoing calls;
  • Direct phone calls;
  • Receive, process, and distribute mail, and dispatch parcels;
  • Ensure security control at the reception desk and maintain an access control checklist;
  • Make meal arrangements for meetings;
  • Perform administrative duties such as filing, archiving, maintenance of product binders, etc.

Required skills and qualifications

  • Bilingual (French/English);
  • Organizational skills / multi-tasking abilities;
  • Teamwork skills;
  • Knowledge of multiple line telephone systems;
  • Knowledge of MS Office (Excel, Word, Outlook, etc.);
  • Understanding of SAP is an asset;
  • Experience in a customer service role;
  • Demonstrate a positive attitude, discretion, availability, diplomacy, courtesy, as well as the ability to adapt to change and good communication skills.
